Welcome to Play Loud Music Academy! We are excited to partner with you and guide your child on their musical journey. Please carefully review these Terms and Conditions before finalizing your enrollment.

1. Annual Membership and Installments (Stripe)

  • Flat-Rate Installment Structure: To make premium music education highly predictable and affordable for families, the total annual cost of our coaching, curriculum, and resources is split evenly into 12 flat-rate monthly installments of $166.67 per month per student.

  • Year-Round Billing (Including Holidays): Because this annual cost is averaged out over the entire calendar year to keep your payments lower, installments are billed continuously every month, including during school holiday periods. This ensures you pay the exact same manageable rate year-round rather than facing large upfront term fees.

  • Sibling Discount: To support families with multiple rockstars in the making, we offer a 10% discount on the monthly membership installment for any additional siblings enrolled in the academy.

  • Payment Processing via Stripe: All memberships are billed securely through Stripe. Once your enrollment form is processed, you will receive a confirmation email containing a direct Stripe link to set up your subscription.

  • Automated Billing: Membership fees are automatically deducted on a recurring monthly basis from your chosen payment method stored on your Stripe subscription profile.

2. Attendance, Holiday Value, and the Flat-Rate Policy

  • Guaranteed Slot Retention: Your monthly installment guarantees your child’s dedicated place in their music group. Because that spot is permanently reserved for them, the flat-rate monthly fee is due every month regardless of student attendance, missed classes, illness, school camps, or family vacations.

  • Holiday Period Value: While active in-school group lessons do not run during official school holidays, your installment ensures your child’s permanent spot is securely retained for the upcoming term. Furthermore, your child retains 24/7 access to our digital student portal, custom backing tracks, and practice resources throughout the holidays so their musical momentum never stops.

  • No Adjustments or Credits: No refunds, makeup credits, or fee adjustments will be issued for lessons missed by the student.

  • Courtesy Notifications: While missed lessons do not change or reduce your monthly billing, we highly appreciate it if you notify your coach in advance via email or phone if your child will be absent, so the group's rehearsal plan can be adjusted accordingly.

3. Lesson Structure

  • Collaborative Group Environment: To build confidence, social interaction, and team-based musical skills, all standard lessons are conducted as focused group classes with a maximum of four students per group.

4. Media Recording & Content Consent

  • Internal Progress & Assessment (Required): By enrolling, you grant Play Loud Music Academy permission to record audio and video of your child during lessons, rehearsals, and performances. These recordings are strictly for internal academy use, including documenting their musical journey, lesson planning, progress tracking, and coaching assessments.

  • Public Marketing & Promotional Media (Optional): Separate promotional consent is requested on our enrollment form regarding the public use of student media (such as features on our website, social media channels, or branding materials). Parents may opt out of public marketing by choosing the "Backstage Pass Only" option on their form, which ensures their child's likeness remains 100% private and confined to internal coaching use only.

5. Lesson Schedules and Pick-up/Drop-off

  • Location & Timing: All lessons are conducted on school premises during designated school hours.

  • Prep to Grade 6 Students: Play Loud Music Academy staff will safely collect students from their designated classrooms at the beginning of their scheduled lesson time and return them immediately afterward.

  • Grade 7 to 12 Students: Older students are independently responsible for arriving at and departing from their assigned lesson location on time.

  • Schedule Adjustments: Play Loud Music Academy reserves the right to adjust lesson schedules with reasonable notice due to school events, calendar shifts, or operational needs. We will make every effort to minimize disruption to the students' routines.

6. Student Conduct

  • Respect and Atmosphere: All students are expected to behave respectfully toward coaches, fellow bandmates, and Play Loud Music Academy property. Disruptive behavior that hinders the learning or focus of other students will not be tolerated.

  • Preparedness: Please ensure your child comes to school prepared on lesson days with any necessary materials, instruments, or books as advised by their coach.

  • Academy Withdrawal: In rare cases where continuous disruptive behavior cannot be resolved, Play Loud Music Academy reserves the right to request the student's withdrawal from the program to protect the learning environment of the group.

7. Communication and Support

  • Primary Channels: All communication regarding schedules, absences, or general queries should be directed to our team via email. We commit to responding to all messages within 24 hours.

  • Open Dialogue: We encourage transparent communication and are fully committed to providing a positive, high-energy, and supportive environment. General feedback, concerns, or questions can be shared directly via email or phone.

8. Termination of Membership & Unenrollment

  • 30-Day Notice Period: You may cancel your membership and cease lessons at any time by providing written notice via email at least 30 days in advance of your desired final lesson date.

  • Final Billing: Because billing runs on an automated monthly cycle through Stripe, any subscription payments scheduled to fall within this 30-day notice period will be processed as usual, and your child is welcome to attend all remaining scheduled classes during that time.

  • Settling Accounts: Any outstanding fees or balance due on the account must be fully settled before the cancellation of the subscription is finalized.

  • Academy Termination: Play Loud Music Academy reserves the right to terminate a student's enrollment and cancel their Stripe subscription immediately for non-payment, repeated declined transactions, severe disruptive behavior, or any explicit violation of these terms.

9. Non-Contact Policy (Cessation of Service)

  • The 28-Day Rule: To ensure efficient use of resources and scheduling fairness to waiting students, Play Loud Music Academy reserves the right to cancel the membership of any account showing zero contact with the academy for a period exceeding 28 consecutive days.

  • Definition of "No Contact": This is defined as a combination of unnotified student absences, a complete failure to respond to academy communication attempts (via phone or email), and failed, paused, or declined monthly Stripe payments.

  • Forfeiture of Spot: After 28 days of total non-contact, the student’s lesson schedule will be cancelled, and their permanent slot will be made available to other families. To reinstate lessons after this point, you must contact us directly to start a new enrollment, subject to current availability. No refunds or credits will be issued for time missed under non-contact status.

10. Modifications

  • We reserve the right to update or modify these terms and conditions to reflect operational or platform changes. Parents will always be notified of any structural policy adjustments directly via email or our website updates.

11. Disclaimers & Liability

  • Personal Property: Play Loud Music Academy is not responsible for any lost, stolen, or damaged personal belongings or personal instruments brought to lessons.

  • Inherent Risk: Active participation in music performance and group classes carries minor, inherent risks of physical movement or equipment handling. By enrolling, you acknowledge and accept these operational conditions.
